The Program Coordinator III is responsible for facilitating activities associated with a specific complex program or group of complex programs in a specialty/functional area including scheduling, coordination of communication, data management, document preparation, and process improvement. Supports development and maintenance of related tools, policies, training materials, and methods/procedures for communication and coordination with internal teams, external departments, and community providers, payers and agencies. Works in collaboration with the Program Manager and other program staff to help to implement the program’s objectives in support of identified goals and the continuous improvement process. Partners with the program team to implement operational solutions. Responsible for ensuring effective communication among stakeholders and program staff. Facilitates interdepartmental activities, ensuring ongoing effective program operation and/or implementation. Oversees a moderate to high volume of complex work in support of the program. This level performs work under limited supervision with independent judgment required.
Key Accountabilities: Provide program coordination and operational (day-to-day) management for the following Quality and Clinical Effectiveness Department work products: 1) Clinical Effectiveness/Clinical Standard Work Pathways, 2) Microsystems, 3) Quality Infrastructure Develop, implement, train, and maintain efficient, effective, and transparent workflow management processes Develop and implement systems to track metrics that quantify program performance against established goals and provide status reports and data to program leadership and assigned committees Coordinate projects, program activities, new staff orientation, etc. Ensure projects and workflows adhere to standard work requirements Provide technical and quality assessment support to consultants, project managers, leadership, customers Maintain internal and external web pages Coordinate communication efforts with Marketing/Communications team, including annual reports. Participate in Center for Quality and Patient Safety initiatives
- Bachelor’s Degree or equivalent combination of education/experience that demonstrates knowledge and competency
- 5 years program coordination support experience; including at least 2 years of experience organizing multiple projects through to completion
- Experience working on process improvement projects with cross-functional teams
- Experience organizing multiple projects through to completion
- Successful track record convening and facilitating dialogue with multiple and diverse stakeholders
- Experience with: drafting, editing and developing communications and/or reports
Additional Preferred Qualifications:• Highly organized and skilled in maintaining up to date status of multiple work products and staff. • Demonstrates excellent communication skills with teammates and health care professionals• Knowledge of quality improvement science methods and tools• Experience participating in quality improvement activities in a healthcare setting• Experience with data collection, display, and use to inform quality improvement activities • Experience working with physicians, advanced practice nurses, and other clinical roles. • Demonstrated proficiency with or interest and ability to learn virtual collaborative workspaces (e.g. SharePoint, Microsoft Teams, One Note, Miro, Mural, etc.) • Interest in growth opportunities and career advancement
- Experience working in public health, health care or social services
- Experience working on continuous process improvement projects and strong understanding of lean methodology
- Experience in coordinating events and/or project management
- Experience with budgeting
